Overview:

The Quality Assurance Manager is responsible for the overall development, implementation and maintenance of the Company’s Quality Management System. The QAM will conduct Internal quality verifications alongside acquiring and maintaining 3rd party accreditations. Administration of all HR matters is also included in this role. It is envisaged that 90% of the role will be QA and 10% HR, however this may evolve. The QAM will manage this one-person department and be supported by the Principal, Chief Instructor and Office Administrator when necessary.

Candidates do not necessarily require a background in a Quality Assurance role.

Chieftain Training:

Chieftain is a small training centre, recognised by the Royal Yachting Association to deliver a range of RYA Shorebased Training Courses to both the public and the commercial sector. STCW training is currently outsourced to a third party. It is however our intention to bring the STCW product lines in house and a key part of this role will be helping to facilitate that.

The organisation is about to enter a stage of rapid growth and this will be an exciting time to join the team, to help produce new policies and procedures and then cement those procedures into place. The target markets are seafarers and yacht crew. The Company operates mainly in Southampton (across two venues) with some other UK interests.

Key Responsibilities Quality Assurance Manager:

  • Draft & maintain quality assurance policies and procedures
  • Keep records of quality reports and relevant documentation
  • Coordinate procedures described in the Quality Management System (QMS) and ensure compliance
  • Assure ongoing compliance with quality and industry regulatory requirements including STCW, RYA, CIEH, MNTB
  • Review the implementation and efficiency of quality systems
  • Investigate customer complaints and non-conformance issues
  • Coordinate and support on-site audits conducted by external partners
  • Manage and coordinate audit programmes
  • Responsible for document management systems
  • Co-write bids and tenders
  • Provide updates to senior managers and directors around quality issues
  • Secretary to the Senior Management team
  • Assist with marketing, sales and exhibitions as required
  • Assist with office administration and course preparation as required
  • Carry out student assessments as required by the Chief Instructor

Key Responsibilities HR Administrator:

  • Apply HR and business knowledge evidencing appropriate decision-making skills.
  • Advise managers on the terms and conditions of employment and knowledge share best practice with them.
  • Support the recruitment process – this may include writing job descriptions and preparing interview questions and application forms etc. Manage the recruitment and selection process
  • Carry out new starter inductions
  • Continuously monitor and review HR policies and processes and implement changes where necessary.
  • Participate in the implementation of specific projects, procedures, and guidelines to help align the workforce with the strategic goals of the organisation.
  • Support change of management processes.
  • Collate complex employee relations casework including dispute resolutions, disciplinaries, grievances, absence, retirement and redundancy.
  • Support current and future business needs through the development, engagement, motivation and preservation of human capital
  • Develop and monitor overall HR strategies, systems, tactics and procedures across the organisation
  • Nurture a positive working environment
  • Assess training needs to apply and monitor training programs
  • Report to management and provide decision support
  • Ensure legal compliance throughout human resource management 

Further Responsibilities:

As a small business, all of the staff have to fulfil multiple roles. The post-holder may assume responsibility for other areas (to be agreed based on skills and previous experience).

Terms:

We are envisaging this being a full time 5 day a week position, however for the right candidate we would be prepared to discuss it being either 4 days a week or slightly reduced hours spread over 5 days. The terms below assume a 5 day full time week
